At Guidance Healthcare Consulting, we are confident that our services will bring value to your practice and ultimately improve the overall health of your practice. However, we also know that hiring a consultant can be a daunting or reluctant course of action. That's why we offer you the chance to sit down one-on-one with a consultant at your location at no cost to you other than covering travel expenses. Our consultant will conduct a mini-practice analysis to gain an understanding of the practice firsthand and meet with principal management. From this analysis, you will receive a general overview of the consultant's findings based on their knowledge, experience and observations.

When a practice participates in a free mini practice analysis, they are ready to move quickly into the phases outlined below. As a part of the mini analysis, a practice will be asked to complete the written survey prior to our first visit. A thorough practice analysis is then initiated quickly as the consultant is already familiar with your situation and practice. In essence, we hit the ground running by investigating and focusing on those areas of need exposed during the mini analysis. We quickly get to the root of the problem so that we can begin offering solutions and making recommendations.

Phase I - Survey

We start with a written survey that is completed by you before we ever step foot in your practice. This assessment gives our consultants direction as to where the current issues and problems lie within the practice. The financial and operational information collected in this phase points our consultants in right direction in preparation for the on site visit.

Phase II - On Site Analysis

We seek to maximize the time our consultants spend with your practice on site. Depending upon the problems identified in Phase I, information gleaned from the mini practice analysis or the specific areas that you want addressed, our consultants will conduct the following during their on site analysis:

Interviews - We conduct confidential, in-depth interviews with each physician, staff and manager. Our experience tells us that those working within the practice are cognizant of the problem areas and usually have ideas as to how to improve them. We start here and investigate further to uncover all possible issues including Corporate Culture. This process may involve satisfaction surveys if employee morale is an issue or concern.

Patient Flow - Getting patients in and out of your practice smoothly, efficiently and courteously is what positively impacts your bottom line. Our consultants observe and investigate telephone flow, appointment scheduling, patient information sheets, check-in and check-out procedures, office communication with patients (oral and written), and back-office procedures.

Revenue - As part of a revenue cycle, our consultants review billing, collections and insurance processing operation. In addition, we look at patient business communication, accounts payable and internal loss prevention policies.

Staffing - A common question we are asked is "How many full-time to part-time employees should we have?" We utilize a thorough task analysis to assist us in identifying that number for you. We seek to uncover duplication, inappropriate task assignments, basic conflicts and redundancy. Staff policies are also reviewed to ensure that the practice is maximizing efficiency and minimizing potential risks. MGMA benchmarking standards are also used for comparison.

Corporate - We assess the overall health, direction and structure of the practice including key areas such as strategic planning, marketing, income distribution, expense-sharing agreements and use of physician and staff time management.

Phase III - Strategic Plan

Debriefing - Once we have completed the interviews and our assessments are finished, we meet with management to discuss our findings, observations and recommendations in a concentrated debriefing meeting. This meeting lasts approximately 1 - 2 hours. Our key objective is to provide an accurate, unbiased assessment of the state of the practice and discuss a plan for improving effectiveness and efficiency at the practice.

Implementation - This report includes a detailed list of recommendations in the order of priority as we view them. Together, our consultants work with you to develop the best strategy that fits your needs, including goals, objectives and tactics that management and staff can work on together. Once agreed upon, Guidance consultants present you with written documentation to serve as your road map and tracking guide.

Implementation Assistance - Situations that our consultants often identify and provide solutions for are not corrected because current staff may not have the time or the skills to impact the recommendations. We offer additional "hands on help" to assist the practice in getting started, jump starting them when the action has stalled or when situations deem it necessary.

Phase IV - Follow up

Questionnaire - We conduct a 60 day follow up questionnaire to monitor progress and identify any problems that are impeding the practice from achieving success.
